Home Accounts Tips 2 - The cash Book

Basic Cash Book

If you are starting a small business or just want to keep Home Accounts ,then you will need to keep records.
An essential part of your records will be your Cash Book.
This enables you to record the movement in your Bank Account, and is essential when carrying out a bank reconciliation.
A Cash Book can be kept manually or by using a computer .
I always use a computer program as any mistakes made when entering details can easily be rectified.
I personally use a Microsoft Excel spreadsheet(see example).

In my example you will see the following column headings :
Cash Received Section
Bank Balance Brought Forward - This is your bank balance at the point where you wish to start your business.
Date - This is the date when cash and cheques were paid in or a transfer received.
Banking Slip Number- This is available from your Pay In book.
Transfers From 
This is the name of the person or company who has transfered amounts into your bank account,and should appear on your Bank Statement.
Cash Received - This is the total amount from your your Banking Slip or Transfer.
Cash Paid Out Section
Date - This is the date of Cheques issued or Direct Debits/Standing Orders(S/O)/Transfers Out.This can be found on your Bank Statement.
Cheque Number/Direct Debit/Standing Order/transfers Out - This is the Cheque number or details of the Direct Debits/Standing Orders/transfers Out.These can be found on your Bank Statement.
Payee - This is the name of the person or company that the payment was made to.
Amount - This is the amount of the payment.These can be found on your Cheque Book stub or Bank statement.
Balance Carried Forward - This is the balance after adding in the Cash Received and deducting Cash Paid Out.
You will see in my example that amount shown in red indicate that the account hasCash In Hand.
If the amount shown is in black then the account is Overdrawn.

For those who use Microsoft Excel or similar software I have illustrated the Formats and Formulae that I used in my sample Cash Book.
You should refer to your own software Format and Formulae help sections as they may differ slightly.

Cash Book Analysis

Having entered your Cheques/Direct Debits/Standing Orders/Transfers Paid Out into the Cash Book,the next step is to analyse them into further headed columns.
If you are a Vatable company then the first heading should be VAT.
Here is a list of typical headings :
1) VAT
2) Printing and Stationery costs
3) Car costs
4) Travel costs
5) Insurances
6) Product Material costs
7) Post and Packaging costs
8) Telephone costs
9) Internet and Web costs
10) Equipment Purchases
11) Equipment repairs
12) Equipment lease costs
13) Other Item costs
14) Check Total 
15) Notes
The Totals of the analyse columns will then be posted into your Nominal Ledger.
The Nominal Ledger is the subject of a later Hub Page.

If you only require Home Accounts then the Cash Book Analysis can be used to create a basic Profit & Loss Report.This will be covered in a later Hub Page Article.
If you are a Vatable company with a reasonable Turnover you may find it more beneficial to use software programs such as Quickbooks or Sage.These programs may be more appropriate if you require Sales and Purchase Ledgers.

Just a note about VAT.
Most Supplier Invoices will show which Goods or supplies are Vatable.
When analysing a Purchase Invoice look carefully at the details as some items maybe Zero Rated.
In the case of Direct Debits/Standing Orders you should refer back to Original Documents/Agreements or Leases for VAT amounts that maybe included in the total.

                  The history of Darbhanga dates back to the Ramayana and Mahabharata periods. According to the Vedic sources, the Videhas of Aryan stock first migrated to the area from the banks of Saraswati in Punjab. They were guided to the east of Sadanira (Gandak river) by Agni, the God of Fire. Settlements were established and, thus, flourished the kingdom of Videhas-the Selfless. In course of time Videhas came to be ruled by a line of kings called Janaks. In this line of kings there was a very famous king named Mithi. To commemorate his greatness the territory was named as MITHILA. Another famous king was Janak Sirdhwaja, father of Sita. The legends speak of various learned men patronized by Janak Sirdhwaja, who himself was an erudite scholar. Among them prominent were Yagyavalkya, who codified the Hindu law in his Yagyavalkya Smriti and Gautam, who had various valuable philosophical treatises to his credit. King Janak was himself a great philosopher and his ideas have been eternally enshrined in the Upanishads.
Traditions also speak of Kapil Muni's relationship with this area that propounded the Sankhya philosophy. Association of this area with Pandavas is also evident by the belief that they stayed here during their period of exile.
The learned men like Vidyapati, Kumaril Bhatt, Mandan Mishra, Nagarjun, Vibhuti Bhushan Bandopadhya and Vidushi Bhariti belonged to this reason.
The name of the district has been derived from its head quarter and principal town, which is said to have been founded by Darbhangi Khan. It is also said that the name Darbhanga was derived from Dwar-Banga or Dar-e-Bang meaning "THE GATEWAY TO BENGAL".
Darbhanga is one of the important districts of North Bihar situated in the very heart of Mithilanchal - the fertile, alluvial plains of North India. Under the British rule, Darbhanga was a part of Sarkar Tirhut upto 1875, when it was constituted into a separate district. The sub-divisions of the then district Darbhanga were created as earlier as Darbhanga Sadar in 1845, Madhubani in 1846 and Samastipur in 1867. Darbhanga was part of Patna Division till 1908, when the separate Tirhut Division was carved out. Darbhanga became the Divisional headquarters in 1972 when all its three sub-divisions got the status of separate districts. Thus the present Darbhanga district took shape.

                                             महंगाई और गरीब

महंगाई और गरीब की फिक्र-हिन्दी व्यंग्य

जरूरत चीजों की दामों में महंगाई पर
उनको फिक्र नहीं है,
गरीब के दर्द का उनके बयानों में जिक्र नहीं है,
मगर फिर भी देशभक्ति दिखाने का नारा दिये जाते हैं,
कौन समझायें उनको
वफादारी के सबसे बड़े सबूत हैं कुत्ते
वह भी रोटी न देने पर गद्दार हो जाते हैं।

बरसों से सुन रहे हैं
सुरसा की तरह बढ़ रही महंगाई,
इंतजार है हमें
कोई हनुमान आकर करे लड़ाई।
इंसानों में फरिश्ते नहीं होते,
हुक्मराम और प्रजा में बराबर के रिश्ते नहीं होते,
महलों में बैठे लोग
मशगुल हैं अपने ही आप में
कभी लड़ते लूट की कमाई पर
कभी करते एक दूसरे की बड़ाई।

अमीरी के आशियाने उफनते आ रहे हैं।

बिल्लू - 2 पापा रु. दीजिए! मुझे स्कूल में लेट जाने का फाइन देना है. पिता - घर पर समय नहीं मिलता, जो स्कूल जाकर लेटता है.

बिल्लू - यह हथियार क्या होता है? पापा - बेटा हथियार वह होता है, जिससे हम लड़ते हैं? बिल्लू - इसका मतलब, मम्मी हथियार हैं.

बेटा - पिताजी, कोई आया है. पिताजी - कौन है? बेटा - जी, कोई मूँछ वाला है. पिताजी - कह दे, नहीं चाहिए.

भिखारी - बाबा, एक रूपया दे दो. तुम लखपति बन जाओगे. अप्पू - तो तू मुझे एक रूपया देकर लखपति क्यों नही बन जाता है?

मरीज - मुझे कुछ याद नहीं रहता. डॉ .- कमजोर याददाश्त के लिए यहीं इलाज है कि आप भूल जाइए आपकी याददाश्त कमजोर है.?

वरना यूं ही आपकी हमसे मुलाकात न होती!

नजरों से नजर का टकरार होता है
हर मोड़ पर किसी का इतंजार होता है
दिल रोता है जख्म हँसते हैं
इसी का नाम तो प्यार होता है!

नाम की क्या बात करते हो, लोग चेहरे तक भूल जाते है
तुम समंदर की बात करते हो, लोग आँखों में डूब जाते है।

प्यार कमजोर दिल से किया नहीं जाता
जहर दुश्मन से लिया नहीं जाता
दिल में है उल्फत जिस प्यार की
उसके बिना जिया नहीं जाता!

Now save this text file as Lock.bat
Create another text file and type in it:
ren MyFiles.{21EC2020-3AEA-1069-A2DD-08002B30309D} MyFiles
Now save this second text file as UnLock.bat
Now you can see 2 batch files Lock.bat and UnLock.bat. Click on the file named Lock.bat and the folder
MyFiles will change to control panel and you cannot view its contents. Click on the file named UnLock.bat
and you will get back your original folder.
